Upload a File to Storage Repository
There are two new areas that replace the two areas from the old site, to store the league file information. The information from the old areas should be copied to the new areas.
The login (to make adds or changes) for the league information area linked to the site menu on the main page is http://filedb.thsll.org/db/admin.php

Schedule Management
Initial schedule entry is done on the THSLL district sites. Once these schedules are approved by the commissioner, there is a one time load to the SWLOA system (usually about Dec 1st). At this point all chnages must be made on the SWLOA site and the Assignors can start to assign the game officials.
The auto transfer of the game info from SWLOA to THSLL is now fully functional. A transfer is scheduled to run every hour. This means that if you make a change to the SWLOA site then it will show up on the THSLL site within the hour. As most of you will remember this also will transfer the games scores once the officials game report is filed. This will keep our box scores page and standings up to date automatically through the database. Laxpower will be able to pickup the scores from our box score page as they did last season.
You can get a dump of the current schedules from the SWLOA site by going to the User Menu then THSLL Schedule Management then THSLL Schedule Export. This is the raw data list. You can save the file as a .csv file and then open it with Excel. This may not be that useful to you because it has the team id and not the team name.

If you go back to the THSLL district admin page where you loaded the games originally, there is a button that will produce a spreadsheet listing of the game data. This should be helpful because it also contains the game id that will match the listing on the SWLOA schedule page.
There is also a log kept of the changes that are made to the THSLL site database. It shows a timestamp and the game id that was changed, added or deleted. You can also click on a link to see the id to team translation table.

Scores and Standings process:
When the game is played, the Official certifies the final score (by NCAA rule) with the game scorekeeper person at the table. The Official is then required to file a game report on the SWLOA website within a certain amount of time. This game report includes the game score. The SWLOA system then associates the game score with the THSLL game schedule. There is a download transfer of the game information to THSLL every hour. This picks up the scores as well as any other info that was added or changed. All updates are immediately available on the THSLL site and team W/L records and standings are automatically updated. The box scores for each game are posted on the THSLL main site where they are picked up by LaxPower.
If a team has a dispute over a game score, they should report it to their Coordinator. The Coordinator has the responsibility to resolve the dispute by determining the correct game score. If there is a change to a game score, the Coordinator has the access rights in the SWLOA system to change the score for any home game played by a team in that Coordinators district area.
The game reports that the teams file to the Coordinators are to give feedback on specific game and league issues. These reports are not used to record the official score on the THSLL site.
Team Contacts:
THSLL team contact info will only have to be entered into the THSLL site and then can be bulk loaded to SWLOA where they will be available for game change auto notifications. It should be noted that team contacts can be entered on SWLOA site both manually and through this bulk load method. However, the bulk load import will overwrite existing contacts and will erase contacts for any given team that has contacts included in the bulk import.
How to use it.
On the THSLL admin contacts page, you will see a button at the top called Export SWLOA File. Click on this button and save the file.
On the SWLOA site.
From the the User Menu, click on
THSLL Schedule/Contacts Mgt , you will then see a list of links, click on Import Contacts. This brings up a form. Click on browse and navigate to where you saved the file from THSLL. Then click on Upload File. This will give you some feedback on the success of the upload.
Open Issues and Improvements:
1. There is currently no way to auto load the game site/field information. The sites that you see now on the SWLOA schedule page are not uploaded by THSLL. The sites are derived (guessed) and filled in by a program that runs on the SWLOA site. It is meant to be a start to find the site. The site for each game can be input on the SWLOA site by clicking on the game date and then Edit Game Record. You will see a form and then fill out the Site Manual Entry.
